Vendor Information

Thank you for your interest in participating in the Loudoun County Fair. Space is currently filled or applications are not being accepted for the following vendor types:
  • Food

Applications are due by June 1, 2012. All spaces will be assigned based on the date the application is received and the logistical needs of the Loudoun County Fair. The fair reserves the right to change site assignments at any time without notice. There is a strict no roaming policy with the exception of major event sponsors.

Vendor space is assigned on a first come, first serve basis. Vendors will receive a confirmation letter with instructions once space is confirmed. Times of required presence are specified in the vendor rules & regulations.

A Certificate of Insurance (COI) with liability limits of at least $1,000,000 must accompany all vendor applications. Loudoun Fair & Associates must be named as additional insured. The COI must be emailed to the vendor coordinator no later than 10 business days after submission of the vendor application.

  1. Craft vendors may participate from Thursday to Saturday.
  2. Percentage vendors pay 25% of gross or $300.00, whichever is greater.

Concession Vendor Space

  1. Food vendors are charged a flat fee of $600 per concession, regardless of square footage requested or assigned, plus any electrical hook up fee.
  2. Food vendors are required to submit their requested square footage via email to the fair vendor coordinator. Space is limited and space requests are subject to reduction, denial or placement immediately beside that of another food vendor.
  3. Food vendors must apply online for space at the Loudoun County Fair.

  4. Food vendors must submit the required health department form to the attention of the Assistant Superintendent of the Loudoun County Fair by June 1st. No exceptions.

We will make every effort to accommodate your request and to make your week at our fair a positive experience.

Setup

Generators are permitted and encouraged. Exhibits are to be set up and open by 4:00 PM on July 23rd. No exhibitor or vendor will be permitted to set up after July 23rd without the written permission of the fair superintendent. Craft vendors, please see the craft vendor application for specific time and date guidelines that may be different from those listed here. Please read the rules and regulations for check-in times and required time for booth attendance. All vendors must have a tent, booth or trailer in which to display their exhibit with the exception of automobile and equipment vendors. The Loudoun County Fair supplies only the ground area.

Electricity

Requests for electricity will be granted on a first come, first serve basis. Due to the size of the fairgrounds, the Loudoun County Fair cannot guarantee that all requests will be granted.

110V service will be provided at a central location. Vendors must provide their own approved heavy duty outdoor extension cord. The cord must be at least 200 feet in length. Electricity is available to power lights, fans and small electrical devices only. Vendors requiring hook-up service must use the Loudoun County Fair electrician. Vendors are not permitted to complete the hook-ups themselves. Please contact us if you need assistance from the fair electrician.

Electricity Fees

A $100.00 fee will be charged for electrical service during the entire week of the fair. Food vendors will be charged $150.00. All payments must be made to the Loudoun County Fair and included with your vendor payment and certification of insurance. All vendor documents must be received within the 10 days of application receipt. Additional fees for hook up by the fair electrician will be handled between the electrician and the vendor.
